Dispense

ASL Registration can now be completed without a Medicare or DVA Card Number

You can now complete ASL registration for patients who do not have a Medicare or DVA card number, provided their Individual Healthcare Identifier (IHI) is available. This enhancement provides ASL accessibility for those patients who do not have a Medicare or DVA card, while maintaining the requirement for a valid IHI.

View eScript Details directly from Patient’s ASL

Complete eScript details can be viewed directly from a patient’s ASL prior to dispensing. This feature is particularly useful for extemporaneous scripts with extensive information in the drug field, making it easier to identify the correct script for dispensing.

To access the eScript details, select a script from the Active Script List window and click View eScript.

The eScript Print Preview page is displayed. This window is intended for confirmation purposes only and should not be printed or used as a copy of the eScript.

Note    This feature is available only when the patient's Active Script List is launched from the Dispense module. It is not available when launched from eQueue.
Record more detail in Date Stamped Customer Notes

The character limit for Date Stamped Customer Notes has been increased from 250 to 500 characters, providing the ability to record more detailed and comprehensive information. Any notes that exceed 500 characters are automatically shortened.

Enhanced MyHR Access Audit Report

The MyHR Access Audit Report now includes a specific log entry for Emergency Access events, distinguishing them from normal access events. This enhancement allows pharmacists to clearly identify Emergency Access events in the report, improving transparency and security tracking.

Minfos Auto Dispense becomes One Click Dispense

Minfos Auto Dispense has now been renamed One Click Dispense. All relevant windows and buttons within Minfos have been updated to reflect the new name.

In addition to this, several updates have been made to the One Click Dispense functionality to support future eNRMC token dispensing:

  • Pharmacist selection is now mandatory: You are now required to select a pharmacist in the One Click Dispense window before initiating the One Click Dispense process. Previously, this was optional.
  • Manual Pharmacist selection: The pharmacist must be selected manually in the One Click Dispense window. This window will no longer auto-populate with the last pharmacist used.
  • Script now dispensed under the selected Pharmacist: Scripts will now be dispensed under the manually selected pharmacist, regardless of whether a pharmacist was previously listed for repeat supplies.
  • Pharmacist user restriction: Only users with the Pharmacist role can be selected. Other dispenser types such as Dispense Assistant or Student are not authorised to dispense via One Click Dispense.

Custom Address Labels will now be printed when issuing Entitlement Cards 

For pharmacies with Custom Address Labels configured, these will now be printed when issuing Entitlement Cards. Previously, the standard address label was printed.

Times Dispensed field can now display up to 3 digits

To accommodate recent PBS changes that allow up to 999 repeats for some scripts, the Times Dispensed field in the Dispense Form can now display 3-digit values.

Archive ePrescribing Files

Following the 8.3.1 software update, Minfos will run a once-off task to process and archive existing ePrescribing files. This process will enhance system performance, particularly for stores with a high volume of historical ePrescribing files.

You may notice minor impacts to the performance of Minfos directly after the software update while this process occurs.

Automatically apply retail pricing when dispensing S2 and S3 items

Minfos now displays S2 and S3 options in the Possible Matches Found window.

When you select one of these items for dispensing, Minfos automatically applies the appropriate retail price based on the dispensed quantity.

This enhancement streamlines the dispensing process, eliminating the need to manually adjust prices using the ADJ button.

Customers

Automatic statements can now be configured to display all transactions

The All Transactions feature, previously available only for Interim and Manual statements, has now been extended to Automatic Statements. When enabled, all transactions, including $0 transactions, will be displayed in Automatic Statements. 

This option can be enabled in Shop Configuration. Once configured, the changes will take effect in the next statement run. Refer to Customer Statement Configuration for further details.

Automatic Email Statements continue to send after errors occur

This update improves the reliability of the Automatic Email statement process by ensuring it continues even if an error occurs during the sending of statements. Previously, a single failure would halt the entire process, requiring manual intervention. 

From Minfos 8.3.1, failed records are logged, and the remaining statements will continue to be sent automatically. Once the process completes, any errors that have locked a statement from sending are automatically cleared, eliminating the need for manual clearing.

Stock Manager

Drugs are now excluded from the automatic Product Deleter process

In Minfos 7.6.2, we introduced an automatic process for the Product Deleter to periodically remove unused products from your database, making it easier to manage the active products you regularly use. 

After the introduction of this feature, some stores reported that drugs that had never been dispensed were occasionally removed, impacting their availability for dispensing when needed.

With this update, products marked as drugs will no longer be deleted as part of the automatic Product Deleter process. The Product Deleter will continue to run as usual, but drugs are excluded from this process will remain in the system for dispensing when required.

MNPN Update process will not overwrite existing MNPNs

In this release, changes have been made to the MNPN update process to prevent the unintended overwriting of existing MNPNs.

Previously, when an MNPN update was processed, if a matching product already existed in your database (based on Supplier, Barcode, and PDE), Minfos would update the product details, including replacing the MNPN if there was a mismatch. This caused issues when suppliers reused barcodes and PDEs for different products with new descriptions.

Now, when processing an MNPN update, Minfos will no longer overwrite an existing MNPN. If the system finds a match but the existing product already has an MNPN, a second product will be added to your database with the new MNPN. The original product will retain its barcode and PDE, while the new product will be assigned a Minfos-generated barcode and PDE.

You will need to review your Duplicate PDE Report to manually reassign the PDE to the product you are currently stocking. Manual merges of these products can still be performed in-store, which will override the MNPN as per existing behavior.

MNPN updates will continue to apply an MNPN to locally added products where a match is found.

Stock Variance report now displays Primary Barcode

The Stock Variance report has been enhanced to display the Primary Barcode field alongside MNPN and Product Number when the Show Detail option is checked. 

This update simplifies locating product information, making it easier and more efficient to investigate reported variances. 

Enable and Configure Auto-Send for Orders

The recently introduced Auto-Send feature enables order templates, created through the Order Template API, to be flagged for automatic transmission once generated, provided conditions are met. 

If your banner group manages your order templates and will send these orders on your store's behalf you need to enable the Auto-Send feature in Shop Configuration and specify a default sales clerk for all automatically sent orders. Refer to Configure Auto-Send for orders.

Reporting

Manage Scheduled Reports

Minfos 8.3.1 introduces the new Report Schedules window, providing a central location to easily view and manage all scheduled reports. The Report Schedules window allows you to delete, deactivate, re-activate and review scheduled reports in your pharmacy.

Sales by Range report now displays Primary Barcode

The Sales by Range report now includes the Primary Barcode field when the Show Detail option is checked. This enhancement simplifies product identification, allowing for more efficient analysis and troubleshooting of any reported discrepancies.


Software

Updated Incremental Backup Settings

The Minfos Cloud Backup process has now been optimized to upload less frequently. Incremental backups will now upload every hour, ensuring efficient data management without compromising backup integrity.

The Time Between Backups setting has also been updated, allowing you to set your incremental backup to run in 10, 30, or 60-minute intervals. Minfos Cloud Backup will continue to upload on an hourly basis, regardless of the selected interval.

Resolved Issues

Dispense

1. The Label Preview on the Pharmacist Check screen will now be displayed correctly when there is a change in Quantity.

2. Dispense will no longer close unexpectedly when copying a Schedule 8 eScript.

3. Occasionally the Print Options dialog is slow to display when printing an eScript.  This has now been resolved and the Print Options dialog is displayed in a more reasonable time.

Stock Manager

1. Users with View user permissions set for Stock Manager can now launch Product Maintenance and Enquire on products.

2. Importing a large order in Order Maintenance will now maintain the selected Supplier.

3. It is now possible to collect turnover invoices from MVX.

4. Setting a Minimum Shelf Hold will no longer prevent products from appearing on generated orders if required.

5. The Stock on Hand report will now display the correct Average Cost or Last Buy Cost based on the selection.

Till

1. Voiding a sale to a loyalty customer will no longer result in a Major Balance Error.

2. The Credit Card Surcharge amount is now displayed consistently across different Till screens.
