Depending on the loyalty program your pharmacy uses, your loyalty members can choose to receive a physical or virtual (cardless) membership card.

Note: Either a Phone number or Email address is mandatory for a virtual card, regardless of mandatory fields for your loyalty program. If your customer does not have either a phone number or email address, they will require a physical card.

There are some differences in the workflow to add a loyalty member:

This article has been written with the Prefill Add member window configuration enabled*, by selecting this config option it is quicker and easier to sign up a new member, click here to learn how to enable this time-saving feature. 
If you do not have this feature enabled, ensure you read the Enter the Customer's contact details section of this article. 
*This is enabled by default for TerryWhite Chemmart pharmacies. 

Physical and Virtual Cards

1. Enter your Clerk Code in the Till and add the required items to the sale.

2. Press Add Member.a. If the customer has been preselected at the Till either via a script or the Select Customer option the Add Member consent prompt is displayed. 

i. Click OK if the customer consents.

The Add member window is displayed and is populated with the relevant information from the Minfos Customer profile.ii. Skip to step 3.

b. If the customer has not been pre-selected at the Till.

The Add member window is displayed.i. Click Select Customer.

The Customer Search Window is displayed, this is the Minfos customer list.

ii. Find and highlight the required customer and click Enter.

The Add Member consent prompt is displayed.

iii. Click OK if the customer consents.

The Add member window is displayed and is populated with the relevant information from the Minfos Customer profile.3. Ensure the correct Card Type is selected, click either Virtual or Physical.

4. If Physical is selected, the Member ID text box is enabled, scan the loyalty card or enter the card number and press [Tab].5. Refer to Enter the customer's contact details section of this article, if you do not have the prefill config enabled.

6. Check the details and press [Enter] to add the loyalty member. The card is then activated (if applicable), and the Loyalty member is created.

The customer’s new Loyalty details are shown on the till.


Physical Cards

1. Enter your Clerk Code in the Till and add the required items to the sale.

2. Press Add Member.

The till prompts to Scan a new loyalty card.

3. Scan the new loyalty card, or type in the loyalty card number and press [Enter].

a. If the customer has been preselected at the Till either via a script or the Select Customer option the Add Member consent prompt is displayed.

i. Click OK if the customer consents.

The Add member window is displayed and is populated with the relevant information from the Minfos Customer profile.ii. Skip to step 4.

b. If the customer has not been pre-selected at the Till.

The Add member window is displayed..

i. Click Select Customer.

The Customer Search Window is displayed, this is the Minfos customer list.

ii. Find and highlight the required customer and click Enter.

The Add Member consent prompt is displayed.

iii. Click OK if the customer consents.

5. Check the details and click Enter to add the loyalty member. The card is then activated (if applicable), and the Loyalty member is created.

The customer’s new Loyalty details are shown on the till.

6. Give the Loyalty card to the customer.

7. Continue with the sale.


Enter the customer’s contact details:

If you have enabled Minfos to prefill the loyalty Add member window the following steps will not required when signing up a new member. Click here to learn how.

Note: Entry of member details can be set to either mandatory or optional by your loyalty administrator. Mandatory fields are indicated by an *.
  • Phone # - Enter the phone number, including the area code, if applicable. The phone number will be validated and a prompt will display if an invalid number has been entered
  • Email Address 
  • Title - Select from: Mr, Mrs, Ms, Miss, Dr or Other (default)
  • First Name   
  • Surname   
  • Unit #   
  • Street #   
  • Street name - Enter the street name or, if adding the street type, do not abbreviate, e.g. enter Lewis Street not Lewis St. Abbreviated street types will interfere with the validation.
  • Suburb   
  • State - The State drop-down list is blank by default
  • P/Code
  • DOB - The customer’s date of birth, in dd/mm/yyyy format
  • Gender - Click the dropdown to select a gender. Select from:
    • Not specified (default)
    • Female
    • Male
    • Other
    • Rather not say

1. Once you have entered the required details, press [Enter].

The Valid Address Selection window is displayed.

2. Select a valid address from the list of suggestions or select Match not found, continue? if the address you require is not displayed.3. Press [Enter].

The Customer Consent Confirmation prompt is displayed.

4. Press Confirm after the customer has granted their consent for the collection of their personal information. Alternatively, press Cancel to abandon adding the customer as a loyalty member.

a. If details have not been entered in one or more mandatory fields, this Notification prompt is displayed:

b.  Press OK to return to the Add Member window.

c. Enter details in all mandatory fields marked by an asterisk, then press [Enter].

The card is then activated (if applicable), and the Loyalty member is created.

The customer’s new Loyalty details are shown on the till.


Note: Loyalty members with virtual cards will need to be added to future sales using the Look up Loyalty member's details workflow.
