Through this Shop Configuration option, you can set up your Minfos software to email:
- PDF statements with your pharmacy’s own email message
- Reports with your own email message
- eReceipts
Email server settings requirements
Note: To complete this process, you require your pharmacy's outgoing email server address and settings. Contact your pharmacy's internet service provider (ISP) or hardware vendor to request these settings. Minfos support cannot provide you with these details.
Your store’s email account uses an outgoing mail server to send emails, which is specific to your email account’s domain and the setting your ISP has provided. For when you complete the first process, “Setting up email statements” in Minfos, it’s important to note that your email server address:
- Must support SMTP for outgoing mail
- Might require authorisation — a username and password
- Might use an SSL or TLS, which adds security to your emails
Note Before OAuth Authentication can be configured in Minfos, you must first have the Client ID / Tenant ID and Client Secret details. Follow the process in the relevant link below to obtain these details.
To set up email statements:
Tip: This process should be followed on all workstations that require Email functionality. If your pharmacy is also going to set up Automatic Emailing of Customer Statements, please ensure this process is run on the workstation that runs Automation Manager (usually Station 6, the back office workstation).
1. From the Minfos Launch Pad, click the Special menu and select Utilities.
The Utilities module is displayed.
2. Click either the Shop Configuration icon, or click the Config menu and select 1. Shop Configuration.
The Shop Configuration window is displayed.3. Click the Email Configuration tab.
The Email Configuration window is displayed.
4. In the Email Server Settings group box, enter your pharmacy’s email configuration:
a. Check the Email Enabled checkbox.
b. In the Outgoing Mail Server text box, enter the mail server address for the email account that your pharmacy will use for emailing from Minfos. Minfos support cannot provide you with your pharmacy's Outgoing Mail Server. If you don't know this address, please contact your hardware vendor or internet service provider (ISP).
c. In the Email Server port text box, “25” is shown, by default. This is the common port number for the email transfer used, SMTP, and if no SSL encryption is used. Change this value if advised by your hardware vendor or ISP. Minfos support cannot provide you with your pharmacy's Port number.
d. Click the Server Security Settings drop down box and select one of the following options:
- None
- SSL on connect
- Auto
- STARTTLS
- STARTTLS when available
Note: If you were configured to use SSL previously this will select SSL on connect by default.
e. In the Store email address text box, enter the email address for your pharmacy's email account. This is the email address that customers can reply to, and the email address that uses the Outgoing Mail Server address and settings that you’ve entered in this window.
f. Select an Authentication Method from the dropdown. Select from:
- Basic
- OAuth - Outlook
- OAuth - Gmail
g. If you selected Basic Authentication Method, enter:
- In the Username text box, enter the username or email address used to authenticate your email server. In some cases, the username is your email address that uses the mail server.
- In the Password text box, enter the password used to authenticate your email server. In some cases, this is the password you set for your email address that uses the mail server.
h. If you selected OAuth - Outlook Authentication Method, enter:
- Client ID
- Client Secret
- Tenant ID
i. If you selected OAuth - Gmail Authentication Method enter:
- Client ID
- Client Secret
When the required fields are populated, the Send Test Email button is enabled.
j. Click Send Test Email to verify the details you have entered are correct.
The Minfos Email Server Settings Test window is displayed.
k. Verify or change the destination email address and click OK.
Note: Pharmacies using OAuth – Gmail only A browser window is launched and you are asked to confirm and grant access to the Gmail account in the browser window. Minfos will not attempt to send the test email until this process has been completed.
Minfos will attempt to send the test email.
l. If the test is successful:
- The Email Confirmation window is displayed.
- Check that the destination email was received, then click Yes. Proceed to step 5.
- If the email was not received (and you have checked your Junk/Spam folder), click No. Check the details in the Minfos Email Server Settings Test window and retry the test.
If the test was unsuccessful:
- An Error message is displayed (example below).
- Follow the directions on the Error message.
5. If you are going to email reports out of Minfos regularly you can set up a default Email Template Subject Line or leave this blank to enter a Subject Line each time you send a report.
6. You can also set up a default Email body when emailing reports out of Minfos, this can be left blank.
7. If you would like to include an Email Footer, enter the required information or leave blank.
8. Click OK to save the settings.
Your pharmacy is now set up to email from Minfos.

Further information for Hardware technicians
There are extended configuration options to support Office 365 & Gmail email options. Please refer to your hardware technician for setup or trouble shooting if you have been experiencing issues with your email, and provide them with this information.
Gmail
If using port 465 or port 587, an app password must be generated and used with your account email as credentials. 2 Factor Authentication must be enabled for this to be available. See here for steps on how to generate an app password.
Office365 (Outlook)
Port 465 does not appear to be supported.
