This article will guide you through the recommended process for managing charity donation collection.
The steps of this process are:
- Create a category for the charity.
- Create stockcard/s for the charity.
- Add a Till Hotkey to easily add donations to sales.
- Report on collected donations via the Sales By Range report.
Step 1 - Create a category for the charity
1. From the Stock Manager module, click Category Maintenance.
The Category Maintenance window is displayed.
2. Select the Category Type you wish to create from the dropdown. In this example, IEU is used.
3. Click Add.
The category type Entry dialog is displayed and the category ID is created and shown in the Code text box.
4. If required, enter a new category ID Code.
5. Enter the Name of your new category, then click OK.
The category is displayed at the top of the Category Maintenance window.
6. Take note of the Name and Code of the category you have created.
Step 2 – Add stockcard/s for the charity donation
1. From Stock Manager, click Product Maintenance.
The Product Maintenance window is displayed.
2. Click Add.
The Product Entry window is displayed.
3. Enter the following details:
a. Enter a Name for the charity donation.
b. Click Product Type and select 4. Agencies.
c. Ensure Discountable is unchecked.
d. Ensure GST on Sales and GST on Purchases are unchecked, and the FAT code is A.
4. Click the Categories tab.
5. Enter the category that you previously created.
6. Click OK to save the stockcard.
7. If required, repeat these steps to add additional stockcards.
Step 3 – Add a hotkey to the Till
From the Minfos Till module:
1. Click the Maintenance menu and select 8. Hotkey Maintenance.
The Hotkey Maintenance window is displayed.
2. Click Add.
The Hotkey Edit window is displayed.
3. Enter the first line of the Hotkey Name. Enter a second line if necessary.
4. Enter the name of the agency stockcard you added in the Product field and press [Tab].
The Product Search Window is displayed.
5. If necessary, search for the stockcard using the Find button. Highlight the agency stockcard and click Okay.
The selected product is displayed in the Product field.
6. Click Okay.
The product is now displayed in the Hotkey Maintenance window.
7. Click Cancel to exit.
The Hotkey is now available to use at the Till. Refer to this article for guidance on using hotkeys at the Till.
Step 4 – Report on collected donations
From the Reporting module:
1. Click the Sales menu and select C. Sales By Range.
The Sales By Range Report window is displayed.
2. Select the category type the donation stockcards are allocated to from the Report Type dropdown.
3. Enter the category the donation stockcards are allocated to in the From Code and To Code fields.
4. Specify the Report Period required.
5. Review the Preview panel to ensure the correct period is selected.
6. Leave Content set to 3. All Sales.
7. Click the Format drop-down and choose from:
- Summary Format
- Weekly Format
- Monthly Format
8. Leave Stocked Only unchecked.
9. If required, check Show Detail. This will display the Product Name and Primary Barcode of each product within the selected range that has sold within the period selected.
10. Click Run to generate the report immediately. Alternatively, to schedule the Category Sales report to run automatically after the End of Day click Schedule. Refer to Schedule a report.
