Follow this process to easily create accurate orders to replenish your robot. First ensure all of your robot stock is grouped together in a category and then use Minfos Ordering to order for this category. Although Minfos doesn't use your robot SOH to generate orders, by default the auto synch End of Day process will assist with ensuring the two SOH values stay in sync. You can also include uncollected scripts (which still counts as SOH in Minfos but your robot has removed from SOH) in your order.

This article covers:

  • Step 1: Create a Category to allocate your Robot stock to. 
    • This step will only need to be completed once in your pharmacy
  • Step 2: Use Product Quick Fix to allocate your Robot stock to your Robot category 
    • This step is an ongoing process, anytime your pharmacy adds a new item to your robot, you will need to allocate it to the robot category. Refer to the Minfos Tip to learn how to allocate your Robot stock individually via the stock card
Note: For this article Location has been used as the Category type however you can choose the category you would like to use.

Step 1: Create a Robot Category:

Tip: This category can be used to easily stocktake your Robot, refer to Stocktake your Robot to learn more.

From Stock Manager:

1. Click the Category Maintenance icon or click the Maintenance menu and select 1. Categories.

The Category Maintenance window is displayed.

2. Click the Category Type dropdown and select the required category:

  • Brand
  • Class
  • Department
  • IEU
  • Location

3. Click Add.

The Location Entry window is displayed.

4. Enter the required Code, e.g. 1. The Location Entry window is pre-populated with the next sequential number available. The Code can be any number not already in use.

5. Enter the Name of your Location e.g. Robot Stock.6. Click OK to add the location.

The Category Maintenance window is re-displayed with your new location.7. Click Cancel to return to Stock Manager.

 

Step 2: Use Product Quick Fix to allocate products to the Robot Stock Category

From Stock Manager:

1. Click the Product Quick Fix icon or click the Products menu and select 4. Product Quick Fix.

The Quick Fix window is displayed.

2. Click the Sort By dropdown and select one of the following:

  • 1. Product
  • 2. Department > This will be used as an example for this article
  • 3. Company
  • 4. Brand
  • 5. IEU
  • 6. Class
  • 7. Location
  • 8. AR Product Code > This would be a good option, as most dispensary stock should be categorised as Sale1000
  • 9. Price Policy
  • 10 KVI
  • 11. Discontinued
  • 12. Excluded From Loyalty
  • 13. Preferred Supplier
  • 14. Alternate Supplier
  • 15. Order Number > This would be a good option especially if your pharmacy does monthly dispense orders, it may need to be repeated a few times to ensure all dispense stock is captured
  • 16. Promotion Number
  • 17. Generic
  • 18. Manufacturer

3. In the From and To fields, enter the required Department, AR Product or Order Number.4. Click OK.

The Product Quick Fix window is displayed.5. Click Filter.

The Product Quick Fix Filter window is displayed.

6. Select the Display Products with SOH option.7. Click OK.

The Product Quick Fix window is refreshed and displays products with SOH.8. Using standard windows shortcuts [Shift] and/or [Ctrl] highlight the products that need to be fixed to the Robot Stock location.9. Click Fix.

The Quick Fix Selection window is displayed.

10. Check the Location checkbox and enter the location name (Robot Stock) or code (1) in the enabled field.11. Click OK.

The Product Quick Fix window is refreshed and re-displayed and the highlight products location has been updated.

  • The Product Quick Fix window has a scroll bar, so you could select all required products at once, then click Fix
  • You may want to only do this screen by screen to ensure you capture all products

12. Click Cancel to close Product Quick Fix.

Tip: 
You can update a products location (or other category) from Product Maintenance or any window in Minfos where you can click Stock Card.
