A Category Sales Report should be generated on a daily basis.

Generating a category sales report is useful for the following;

  • Assessing GP% on products sold for a particular date range and category.
  • Allows assessment on the performance of each category within the store.
  • Capturing products which have been sold and not allocated to a selected category.
  • Generating a report on categories which have recorded a negative GP%.
  • Allows assessment of discountable products.

This report is a three step process:

  1. Generate a Summary IEU Sales Report
  2. Generate a Detailed Sales Report
  3. Action any issues

I.E.U will be used as an example category throughout this document. The same reports can be run for Department, Company, Brand, I.E.U, Class & Location.

Generate a Summary I.E.U Sales Report

The first step in this process is to generate a summary IEU (category) sales report. This report will show IEUs (categories) which require further investigation. For example, if there are sales in the General/Unused I.E.U or I.E.Us with a GP% which is too high or too low.

1. From the Minfos Launch Pad, click the Reporting icon.

2. Click I.E.U Sales Report.

The I.E.U Sales Report window is displayed.

3. Leave the From Code and To Code as the default. This will allow the report to generate for all I.E.Us.

4. Enter the Starting Date and Ending Date for the period required.

5. Ensure the Content selected is 3. All Sales. Content of the I.E.U Sales report can also be generated by Dispensary Sales and Retail Sales only.

6. Ensure the Format displays Summary Format. The option of generating an I.E.U Sales report in a Weekly Format or Monthly Format can also be run.

7. Ensure the Show Detail box is unchecked.

8. Ensure the Detail Level displayed is 1.Product.

9. Ensure that the Stocked Only box is unchecked; as it is possible products within the database are marked as not stocked, but have been sold within the selected date range.

10. Click Okay, to generate the report.

The I.E.U Sales report is displayed.

This report should be printed and then detailed sales reports should be run for the I.E.Us (categories) required.

In this example we need to look at the following in detail:

  • General; so these products can be allocated to the correct I.E.U
  • Natural Medicine; so the discounts can be reviewed
  • Household; so the total GP% can be reviewed

Generate a detailed Sales Report

The next step in this process is to generate a detailed report for all IEUs (categories) identified in the previous summary report showing an unexpected GP, or where products have been sold in the General/Unused IEU (categories).

1. From the Minfos Launch Pad, click the Reporting icon.

2. Select I.E.U Sales Report.

The I.E.U Sales Report window is displayed.

3. In the From Code and To Code select the same I.E.U to generate the sales report for one category.

4. Enter the Starting Date and Ending Date which was used to generate the summary I.E.U Sales Report.

5. Ensure the Content selected displays the same content used to generate the summary I.E.U Sales Report.

6. Ensure the Format displays Summary Format or as the same format used to generate the summary I.E.U Sales Report.

7. Ensure the Show Detail box is checked. Checking show detail will display all products within the selected I.E.U that have been sold within the date range selected.

11. Print the report if required.

12. Action the issues

If in General or Unused, assign the product to the correct I.E.U (category) either via Product Maintenance or Product Quick Fix.

If the product has a negative GP, review this products cost/retail/discount status either via Product Maintenance or Price Manager.
