In this article, we'll explore why generating Category Sales Reports on a regular basis is essential for businesses. Not only do these reports offer a comprehensive view of sales performance, but they also facilitate several key functionalities:

  • Assessing GP% (Gross Profit Percentage): By analysing the GP% of products sold within a specific date range and category, businesses can gain insights into profit margins and identify areas for optimisation
  • Performance Evaluation: Category Sales Reports allow businesses to evaluate the performance of each category within their pharmacy, enabling them to allocate resources effectively and prioritise areas for improvement

Generate a Summary Category Sales Report

The first step in this process is to generate a summary category sales report. This report will show categories which require further investigation. For example, if there are sales in the General/Unused category or categories with a GP% which is too high or too low.

From the Reporting module:

1. Click the required menu option, in this example I.E.U will be used and click 1. I.E.U. Sales Report. 

The I.E.U Sales Report window is displayed.2. Enter the required From Code and To Code - these values default to include all categories.

3. Enter the required Starting Date and Ending Date.

4. Ensure the Content selected is 3. All Sales. Content of the category Sales reports can also be run for Dispensary Sales and Retail Sales only.

5. Ensure the Format displays Summary Format. Click the Format dropdown to select Weekly Format or Monthly Format, if required.

6. Ensure Stocked Only is unchecked; if this option is checked, only products marked as Stocked (Reorder) will be included in this report which could lead to incomplete reports.

7. Ensure the Show Detail checkbox is unchecked.

8. Ensure the Detail Level displayed is 1.Product.

9. Click Okay, to generate the report.

The I.E.U Sales report is displayed.This report should be printed and then detailed sales reports should be run for the categories required.

In this example we need to look at the following in detail:

  • General & Unused; so these products can be allocated to the correct I.E.U
  • Natural Health; so the discounts can be reviewed
  • Weight Management; so the total GP% can be reviewed

Generate a Detailed Category Sales Report

The next step in this process is to generate a detailed report for categories identified in the previous summary report showing an unexpected GP, or where products have been sold in the General/Unused category.

From the Reporting module:

1. Click the required menu option, in this example I.E.U will be used and click 1. I.E.U. Sales Report. 

The I.E.U Sales Report window is displayed.

3. Enter the required IEU (or other category) in the From Code and To Code.

4. Enter the required Starting Date and Ending Date, use the same date range used to generate the summary I.E.U Sales Report.

5. Ensure the Content selected displays the same content used to generate the summary I.E.U Sales Report. 

6. Ensure the Format displays Summary Format or as the same format used to generate the summary I.E.U Sales Report.

7. . Ensure Stocked Only is unchecked; if this option is checked, only products marked as Stocked (Reorder) will be included in this report which could lead to incomplete reports.

8. Check the Show Detail checkbox is checked. Checking show detail will display all products within the selected I.E.U that have been sold within the date range selected.

9. Ensure the Detail Level displayed is 1.Product.

10. Click Okay, to run the report.

The I.E.U Sales report is displayed.

Action the issues

  • If in General or Unused, assign the product to the correct I.E.U (category) either via Product Maintenance or Product Quick Fix
  • If the product has a negative GP, review this products cost/retail/discount status either via Product Maintenance or Price Manager
