The KPI report provides a high level view of your business’s key performance indicators. The KPI report combines several reports into a single snapshot of your sales and gross profit from dispensing and retail products to analyse sales data, customer data and inventory data for the selected period.

This report is customisable and allows you to compare any two periods of any time frame displaying the percentage difference. Selected weeks, months, quarters or year date ranges, can be used to display differences from previous years. 

From the Minfos Launch Pad:

1. Click Reporting.

2. Click the KPI Report menu and select 1.KPI Report.

 

A. Format:

  1. Selecting default format will generate a KPI report for one or more of the pre-defined periods select.
  2. Selecting a customised format will generate a KPI report displaying the difference between two selected periods.

For example: Customised format can be used to compare seasonal sales figures.

B. Period Date is defaulted to the Sunday prior to the current date. This date can be altered to change the content of information on the period required to be reported on.

C. Rolling Date:

  1. ON will specify the start and end dates of the week, month, quarter, or year is calculated backwards using the Period date.
  2. OFF will specify that the start and end dates of the week, month, quarter or year are calculated based on the calendar dates.

D. Periods:

  1. Default Format: will calculate the day, month, quarter and year period based on the Format, Period date and rolling date text boxes selected. These dates cannot be edited. Sub periods which are to be included in the report can be selected by checking or unchecking the relevant check boxes.

ii.  Customised Format: Require that the start and end dates for the current and last periods are entered.

3. Click Okay to generate the report.

The KPI Report is displayed.

  

What does the report show?

 

 

Sales Analysis 

A. Dispense Sales ($) line compares the total dollar value of the dispensed items sold at the till, excluding GST.

B. Dispense GP ($) line compares the total gross profit from the dispensed items sold at the till, excluding GST, in dollars.

C. Dispense GP (%) line compares the total gross profit from the dispensed items sold at the till, as a percentage of sales.

D. Retail Sales ($) line compares the total dollar value of the retail items sold at the till, excluding GST.

E. Retail GP ($) line compares the total gross profit from the retail items sold at the till, excluding GST, in dollars.

F. Retail GP (%) line compares the total gross profit from the retail items sold at the till, as a percentage of sales.

G. Revenue Total ($) line compares the combined revenue of the dispensed and retail items sold at the till, excluding GST.

H. GP Total ($) line compares the combined gross profit from the dispensed and retail items sold at the till, excluding GST, in dollars.

I. Pharmacy GP (%) line compares the combined gross profit from the dispensed and retail items sold at the till, as a percentage of combined sales.

J. Disp Sales of Total Business (%) line compares the percentage of total sales that came from the sale of dispensed items.

K. Disp GP of Total Business (%) line compares the percentage of gross profit that came from the sale of dispensed items. 

 

Customer Analysis

This section of the KPI report compares your overall customer retail statistics for the reporting periods. For each reporting period, the:

L. Retail Transactions (exc. Disp) line compares the number of sales transactions for non-dispensed items.

M. Dispense Units Sold line compares the number of prescriptions sold at the till.
Note: this line reflects the prescriptions sold at the till, not the prescriptions dispensed.

N. GP$ / Script line compares the mean gross profit per prescription sold at the till, excluding GST.

O. Avg Sale / Customer (excl dispense) line compares the mean dollar value per sale for non-dispensed items.

P. Items Sold (excl disp) line compares the total number of non-dispensed items.

Q. Avg. No. Items / Customer (exc. disp) line compares the mean number of items per sale.

R. Avg. Retail GP$ / Sale line compares the mean gross profit from non-dispensed items per sale, excluding GST. 

 

Inventory Analysis

This section of the KPI report compares your overall inventory performance statistics for the reporting periods. For each reporting period, the:

S. Dispense Inventory Cost ($) line compares the total dollar value of dispensable items your business purchased, excluding GST.

T. Retail Inventory Cost ($) line compares the total dollar value of retail items your business purchased, excluding GST.

U. Total Inventory Cost ($) line compares the total dollar value of retail and dispensable items your business purchased, excluding GST.

V. Retail vs Total inventory (%) line compares the percentage of inventory purchases that was made up of retail products.
