Warning 
If you need to register multiple patients who share the same email address or mobile phone number, ensure you register one patient at a time. Do not register the next patient (with the same mobile/email) until the first patient has responded to the request to view past scripts.
Note Registering a patient does not give you automatic access to the patient’s ASL. They will still need to grant your pharmacy access to view their ASL.

From the Dispense Form:

1. Select a patient who is not currently registered for an ASL.

2. Click ASL Register. If the status button is greyed out the patient does not likely have a valid IHI, refer to the Troubleshoot ASL section of this guide for more information.

The Assisted Registration Form window is displayed.

 

The focus is on MySL Profile tab. You can use the tabs on the left hand side of the screen to navigate through the registration process or the buttons in the bottom right hand corner to move to the next tab.

3. Complete the patient’s MySL Profile. The First Names, Surname, DOB, Gender, Medicare No., Valid to date, Repat. No. & Expiry fields are populated from the Minfos customer profile. To update this information Cancel the ASL Registration Profile Maintenance window and update required details in the Customer Editing window.

The following fields can be managed from the MySL Profile window:

a. Mobile is populated from the Minfos customer profile and can be updated on this window. This is the Mobile number that the consent request will be sent to, refer to d. The Mobile is validated.

b. Email is populated from the Minfos customer profile and can be updated on this window. This is the Email that the consent request will be sent to, refer to d. The Email is validated.

c. Primary Contact – either the patient or the patient’s carer (if applicable) needs to be selected as the Primary Contact for the patient’s ASL. The Primary Contact checkbox controls who receives the MySL real time consent notification. This checkbox is checked by default if the Mobile or Email are pre-populated from the patient’s Minfos profile.

d. Send Consent Message to - when the patient is registered for their ASL an access consent message is sent to the Primary Contact.   Click the drop-down menu and select either 1. Mobile or 2. Email, ensure the Mobile and/or Email details have been entered.

e. Click Add Carer to add a carer to the ASL profile. The Add Carer tab is displayed, refer to Step 4.

f. Click Register if no carer or agents are required, if they are required either click e. Add Carer or Add Agent. The Summary tab is displayed, refer to Step 6.

g. Click Cancel to close the Assisted Registration Form window.

i. The Cancel Registration prompt is displayed. Click Yes to cancel or No to remain in the Assisted Registration Form window.

4. Navigate to the Add Carer tab if the patient has a carer that will be registered on their ASL. Skip this step if no carer is required.

  • A patient does not need to have a nominated carer and this tab can be left blank.
  • A patient can only have one carer or agent. Both can be added but when you attempt to register the patient, you will be prompted to remove one of them.
  • If the patient is allocated to a Nursing Home in their Minfos customer profile the Add Carer tab will be pre-populated with the Nursing Home from their Minfos customer profile. If a different Nursing Home is required, close the Assisted Registration Form and change the Nursing Home or set to None in the Customer Editing window.

a. Click the Type of Carer drop-down and select either:

1. Personal

2. Nursing Home

Example of Personal Carer:

a. Type of Carer is displayed as 1. Personal, click the drop-down to select 0. None or 2. Nursing Home.

b. Relationship is optional and defaults to 0.None. Click the drop-down and select one of the following, if required:

c. Enter the carer’s Surname, this field is mandatory.

d. Enter the carer’s Given name.

e. Enter the carer’s address details.

f. Enter the carer’s Mobile.

g. Enter the carer’s Email.

h. If the carer is the patient’s primary contact, check the Primary Contact checkbox. If the carer is the Primary Contact the Send consent message to dropdown is enabled, refer to i.

i. Send Consent Message to: When the patient is registered for their ASL an access consent message is sent to the Primary Contact.   Click the drop-down menu and select either 1. Mobile or 2. Email. Ensure the Mobile and/or Email details have been entered.

j. Click Add Agent to add an agent to the ASL profile. The Add Agent tab is displayed, refer to Step 5. Note only one carer or agent can be added to the patient’s ASL profile.

k. Click Register if no agent is required. The Summary tab is displayed, refer to Step 6.

l. Click Cancel to close the Assisted Registration Form window.

i. The Cancel Registration prompt is displayed. Click Yes to cancel or No to remain in the Assisted Registration Form window.

Example of Nursing Home Carer:

a. Type of Carer is displayed as 2. Nursing Home, click the drop-down to select 0. None or 1. Personal.

b. Name: This field is either populated from the Minfos Customer Profile, or you can enter the Nursing Home name. This field is mandatory.

c. Mobile is populated from the Minfos customer profile and can be updated on this window. This is the Mobile number that the consent request will be sent to, refer to f. The Mobile is validated.

d. Email is populated from the Minfos customer profile and can be updated on this window. This is the Email that the consent request will be sent to, refer to f. The Email is validated.

e. If the carer is the patient’s primary contact, check the Primary Contact checkbox. If the carer is the Primary Contact the Send consent message to drop-down is enabled, refer to f.

f. Send consent message to: When the patient is registered for their ASL an access consent message is sent to the Primary Contact.   Click the drop-down menu and select either 1. Mobile or 2. Email, ensure the Mobile and/or Email details have been entered.

g. Click Add Agent to add an agent to the ASL profile. The Add Agent tab is displayed, refer to Step 5.

h. Click Register if no carer or agents are required. The Summary tab is displayed, refer to Step 6.

i. Click Cancel to close the Assisted Registration Form window.

i. The Cancel Registration prompt is displayed. Click Yes to cancel or No to remain in the Assisted Registration Form window.

5. Navigate to the Add Agent tab if the patient has an agent that will be registered on their ASL. An agent is a pre-registered person whom the patient has authorised to collect supplied medicines on their behalf but have not been authorised to give consent to access the patients ASL. Skip this step if no agent is required.

a. Enter the agent’s Surname. This field is mandatory.

b. Enter the agents First Names.

c. Enter the agents address details.

d. Relationship is optional and defaults to 0.None. Click the drop-down and select one of the following, if required:

e. Click Register. The Summary tab is displayed.

f. Click Cancel to close the Assisted Registration Form window.

i. The Cancel Registration prompt is displayed. Click Yes to cancel or No to remain in the Assisted Registration Form window.

6. Summary tab. This tab displays a summary of what the patient is being registered for prior to completing their registration. Review the details to ensure they are correct.

If a carer or an agent is being registered the Summary tab will display:

  • The name of the carer who is being registered
  • The name of the agent who is being registered

The summary will display the Primary Contact’s email or mobile (depending on settings selected in the MySL Profile and Add Carer tabs).

If any of the data displays a red cross, i.e., return to the appropriate tab and correct the information.

a. The patient and the agent/carer consents to those details being added to the ASL checkbox must be checked to enable the Submit button. This does not automatically grant your pharmacy permission to the patient’s ASL. The Primary Contact will be sent either an SMS or an email and they are required to follow the instructions to grant your pharmacy permission.

b. The patient wants historical scripts updated to their ASL is an optional checkbox and will send the Primary Contact a separate consent SMS or email. If they consent, all active scripts that have been uploaded to a Prescription Delivery System (PDS), i.e. eRx or MediSecure, will display in the patient’s ASL. Active scripts are valid prescriptions that have not been dispensed.

c. Click Submit, refer to step 7.

i. If you click Submit with both the carer and agent tabs filled out the following Error is displayed:

ii. Select OK and remove either the carer or the agent before proceeding

d. Click Cancel to close the Assisted Registration Form window.

i. The Cancel Registration prompt is displayed. Click Yes to cancel or No to remain in the Assisted Registration Form window.

 7. When Submit is selected the Medication Knowledge Disclaimer window is displayed.

a. Click OK to finalise the registration process. The consent messages are sent to the Primary Contact. The following prompt is displayed:

b. Click OK to close the prompt.

Once you have successfully completed the registration process the ASL status on the Dispense Form will update to ASL Pending – indicating that the system is waiting for the Primary Contact to grant your pharmacy access to the patient’s ASL.
